Exam or Form Photo Rejected? The 9 Real Reasons and One-Minute Fixes

4 min read · Updated 2026-10-24 · PdfPixel

Upload a photo to an exam portal, wait, and get a one-line rejection with no explanation. It feels arbitrary, but reviewer checklists are surprisingly consistent across SSC, banking, state PSCs, university and visa portals: the same nine defects cause the overwhelming majority of bounces.

Here is the checklist reviewers effectively run, why each defect fails, and the one-minute fix for each using in-browser tools that never upload your file.

Light and background defects

  1. Shadow gradient behind the shoulders: stand farther from the wall and face the light source so the background stays even.
  2. Coloured or patterned background: replace it with clean white in a background tool instead of trying to edit pixels by hand.
  3. Hotspot or flash reflection on the forehead: diffuse the light (curtain over the window) and re-shoot | compression cannot fix blown highlights.

Framing and ratio defects

  1. Chin or forehead cropped: leave a little headroom above the hair and include the full chin | portals measure face height inside the frame.
  2. Stretched or squeezed aspect: never drag a crop corner freely | lock the ratio the portal states (usually 3.5 x 4.5 cm or square) before resizing.
  3. Face too small in frame: head-and-shoulders only | including the torso pushes the face below the measured minimum.
  4. Off-centre face: centre the nose on the vertical axis | asymmetric crops fail automated face boxes on modern portals.

File-level defects

  1. Over the KB cap by a few kilobytes: compress with a measured target instead of a quality guess, and land mid-window.
  2. Under the minimum KB: some portals state a floor to block thumbnails | re-compress from the original at higher quality, never pad bytes.
  3. Wrong DPI metadata: portals that stamp 200 or 300 DPI checks read JFIF density | use a resizer that writes real DPI instead of renaming pixels.
  4. Double-compressed artifacting: always compress from the original capture | re-encoding an already compressed JPG stacks losses and shows as blocks around text and edges.

Frequently asked questions

Why does the portal not tell me the reason?
Upload validators check many rules at once and return a generic message to avoid giving attackers a rule oracle. The nine causes here cover what reviewers actually cite.
My photo looks fine on screen, why rejected?
Reviewers check metadata and measurements you cannot see: DPI stamps, KB windows, face-box ratios and background evenness at zoom.
Can I fix a rejected photo or must I re-shoot?
Background, crop, ratio and size defects are fixable from the original capture. Blur and blown highlights are not | re-shoot those.
Does converting formats help?
Only if the portal demands a specific container. Converting JPG to JPG at a measured KB target fixes size rejections; format changes alone fix nothing.
Is it safe to re-upload to check?
Re-upload only to the official portal. Third-party checkers that ask for your photo are exactly the upload risk this site avoids.
